How to send wine samples to the UK from the EU & Rest of the World
We always welcome samples from around the world, though we please ask that you inform us before sending any wines.
For wines arriving to the UK via the EU / Rest of the World:
When sending sample wines for review, and tasting events, the sender accepts full responsibility for:
• Paying all customs and excise duties and any import or export taxes and VAT due
• Paying any customs handling fees of freight forwarders and parcel courier services
• The export declaration from the originating country
• The import declaration into the UK
• Shipping costs and insurance
To ensure your wine samples clear UK customs smoothly without being rejected, delayed, or destroyed, please strictly follow the requirements below.
Courier & Incoterm Requirements
• Important: all parcels must be sent using the Incoterm DDP - Duties & Taxes Paid / Delivered Duties Paid. You must select the option on the form that states Bill Sender / Bill Shipper.
• Air Waybill (AWB): Explicitly check the box for DTP (Delivered Taxes Paid). This ensures that UK Excise Duty, import taxes, and courier brokerage fees are billed directly back to your account, not the receiver.
Pro Forma Invoice Requirements
A Pro Forma Invoice is required, which must include:
• Incoterm: specify DDP (Delivered Duty Paid) to indicate the shipper covers all costs, including duties and taxes
•Precise Item Description: Include the quantity, type of wine, exact bottle size, and the total net litres of the entire consignment.
• Example: 4 bottles of white wine (75cl each)
• Total net volume: = 3.0 Litres (4 bottles x 0.75L)
• Alcohol by Volume (ABV) percentage of each bottle (e.g. 12%)
• Country of Origin
• Reason for Export (e.g. Samples for Evaluation)
• Value: You must state a value; this can not be zero, but can be nominal (eg, €1 each bottle)
• Include the correct commodity code of the wine consignment. (eg, for wine - 220421) More specific codes can be found here: www.trade-tariff.service.gov.uk
• “Commercial samples of negligible value – relief claimed under CPC 40 00 C30. Not for resale. Nature of Transaction: 20.”
• Our EORI number: GB236368688000
Packaging & Labelling
• All deliveries must prominently display the printed text: “Commercial samples of negligible value — relief claimed” on the shipping box.
• “Commercial sample” should be clearly written on the wine bottle label or sticker using a permanent marker pen.
Courier Services
• For international shipments, we suggest using a courier service such as UPS or FedEx and avoiding local postal services or DHL, as they can cause delays due to complex customs procedures.
• Please direct all courier enquiries to your email address. If the courier company reaches out with information requests, we will forward them to the sender to reply directly.
• Shipments requiring Clerissa to act as the importer will be returned to the sender or courier company.
